MVK Board Meeting Minutes

Mar 7th debrief
Morning pony event. No volunteers to help GF
Communication problems between GF, PT and LR over getting information on the web site.
Promotion is essential for all events, particularly afternoon events and morning event.
Afternoon workshop: 29 paying people.
Action: PT update phone message, with web URL and workshop list if possible
Evening demo good as well, 15 workshop only, 22 both paid.
Workshop set tone for the evening.
LR likes quieter, less crowded party. Too many pieces on the floor.
Tillie as DM pulled the mattress off the coffin, which DaM objected to. Problem of mattress not being tarped, so it wasn’t cleanable.
LR: we can budget for camping foam or something similar that can be cleaned. DrM: put it up as a request for donation.
Action LR: check with DM team regarding cleaning of mattresses and other permeable play furniture
Greeter Haley evaluation. More newbies than she expected. Said she liked to do it. (Katt was sick and unavailable.)
DrM: greeter for beginning of workshop period? 30 minute intro for evening workshop. Will implement, depending on availability.
Interruption to discuss Euvie being graphic artist.
Euvie briefed on designing the May poster and flyer.
Action: PT: Email PDFs of previous posters and flyers to Euvie as sample.
Action LR: send Euvie past Illustrator files for sample.
Compensation? Depending on time. Request time count from Euvie.
Try to create adequate time for review.
March 31 prints ready
March 24 copy ready for inclusions
Euvie requests knowing the future themes as soon as possible.
May is fisting, June is knifeplay
April 4th planning
Greg will be away. How much would be done before has to go? Leaving Friday morning.
PT and DrM will split volunteer coordinator duties on site.
Get door checklist back to GF. Do cash drops during the night. Held on the person. GF recommends making deposits that night.
Need a new person to replace Gini as signing officer.
DM paid by cash. Hall can be paid by check or cash.
Visual/audio: bring projector and laptop, run party playlist. Jay will take care of it.
Action: GF will train LR to setup and run projector.
DaM requests new playlist, or newer. GF requests suggestions.
Yvonne T taking telephone cage for April. Can we set up something suited for D/s? More chairs, puppy cage, mats to kneel on? A little more empty floor space this time.
1 Suspension frame, cross, star, Dusty’s rack, sling frame, horse, bondage bed, OB GYN, but not the coffin.
Afternoon workshop? LR talking to BJ about doing a discussion group. Backup is doing a newcomers discussion group. Group meal again? Topics in advance help foster conversation (e.g. membership and sex discussion in February)
LR suggests doing a formal protocol dinner with Jay. PT: that kind of event requires a guest list or other restricted membership.
GF: we need a better order-in place, such as Sunrise. Or the Asian places across the street from the Capri.
Action: Wrye collect delivery menus from Capri Hall area.
Taboo in Abbotsford, 27th-29th
Sin City leadership doing it.
Gravedigger is talking about running it. GF only on Saturday and Sunday.
Needs transport. Haley said she would be a local help.
Who will lead? GF if Ashton doesn’t step up.
Do we need to provide equipment, if Sin is bringing theirs? At least DaM’s horse.
Hand out three-fold brochures, cards and April posters and flyers. 200-300 flyers.
Reduce pages to smaller size and print on posters? Bring poster/flyer archive binder.
Leather Leadership conference
DrM and DaM
$125 register by Mar 20th, $89 hotel, $530 air fare,
PT: too late, too financially shakey to do it this year. Will be in Detroit, 2010. Would like it to be on
How can we fundraise? License for 50/50 draws? Kissing booth?
R: how will this benefit local community? DaM: train people to be leather leadership.
LR: pick someone from the community instead of a board member.
DrM: bj would like to go. DaM: suggests Tillie.
LR: we could provide partial funding to another person.
R: community consulation, on how this money is being spent. Some will see this as a paid holiday.
Delegate should have specific goals to meet, not just a holiday.
LR: suggests develop a scholarship. GF: but not paid through general funds. Specific fundraising.
LR: not possible in 2009.
Motion: DrM set up Leather Leadership committee and chair it. Carried.
Action: DrM to look up doing 50/50 draw.
VASM participation
DaM will make communication.
Future workshops
May workshop confirmed. Afternoon workshop maybe VASM. DaM as backup
PT: why aren’t we recruiting from outside the organization?
Libido events supposedly has Lee Harrington as exclusive presenter, but Lee is also appearing at Love Nest.
Jenn de R. can also be presenter for afternoon. Same topic as her presentation at Mayhem.
Action: LR will talk to Jenn de R and to River about presenting in May.
Midori is not available on Sep 12th.
Midori could guarantee a good evening turnout on a hard night like Jan 2nd. One month before Olympics.
Board will be different by then, also economy may tank.
DaM cited John Ireland as draw that caused the great turnout in January ‘09
GF committing now to January date is too soon.
Action: PT ask Midori what will get us pencilled in for Jan 2nd, plus advance payment and other detail
Executive position call
Action PT: Secretary and director at large. Check on wiki, send out by March 13
Submissions deadline for candidates: 3 days before, the 28th of March. Invite candidates to meeting around March 31st.
Sep 12th VanD date change
Bumped from Sep 5th because of construction. Will clash with Sin City, but unavoidable.
Action: GF Inform Sin City now and DM Team later.
Party rules revision re sex
Make quiet change to rules?
Legality and liability of allowing penetrative sex in dungeon. Is excluding penetrative sex discrimination?
Action PT: more research on legality and liability. Ask John Ince for help.
Action DaM talk to Jim Chu, chief of Vancouver police.
Action LR Ask DM team as a hypothetical.
Pride 2009
Application deadline in June 30, discount is April 23rd.
Discount for electric and hybrid vehicles. (i.e. GF and LR’s Prius)
Mar 20th: informational event 5pm-7pm Action: Peter to attend.
DrM as Pride coord. Talk to VASM and BoP
Made no use of Oni’s Pride pictures so far. Put on website. Including dungeon layout.
Nothing planned for August. GF is iffy about doing a Pride weekend party at all.
Deadline for associated Pride event not set up yet. Need to check frequently.
Grant available as well.

Mayhem
MVK in Mayhem program book. Could be full page, half-page.
Motion: GF budgets $150 Carried unanimously.
Action LR: Link banner exchange between MVK and Mayhem.
Membership
Privacy problem.
Voting versus non-voting membership? Higher priced for non-voting membership.
Deposit for library? Donation drive? Rolling bookcase?
“Associate” membership. Make clear that they can’t vote, but they will be polled about their opinion.
R. suggests associate members only and on AGM election day have voting membership. Detach social benefits from voting.
Card will be for associates.
Suggest $30-50 sliding scale for associate member, 1 free party & workshop per year (not on same day). Separate policy for $5 voting membership.
